Transfer from stock to the Asset register / CMDB

The moment a device is to be put into use, it is moved from stock into the asset register. This process is performed via transferring the stock item into the configuration database, and the stock settings must have the CMDB link enabled (in Global Settings → Stocks → Link to configuration database).

During the transfer you set the item type and the company the asset will be assigned to. The system also checks the serial numbers and, if it finds a match with an item already in the register, lets you link them. This prevents duplicate records and keeps the data consistent. Part of this process is the automatic creation of a stock issue, which records the movement of the asset out of the stock.

From the moment of transfer, the asset is actively tracked in the system, and you can record its status, ownership changes, and related documents such as handover protocols. Thanks to the connection between the asset register, the purchase orders, and the stock, every item has a clear history — from being ordered, through receipt into the stock, up to actual use.

A stock item can be transferred into the CMDB (and thereby into the asset register) via Stock → Stocks → specific stock → Items in stock tab, and on the right-hand side of the window you will find the Transfer to configuration database button. After clicking the button, a window appears for entering the type of the transferred item and the company to which the item will be assigned.

After you select the type and company, an item-selection window opens. If multiple units are in stock, you can transfer only some, not all at once. We are transferring 2 laptops.

The transferred laptops then appeared in the list of CMDB items.

They also appear in the asset register list.

In the stock documents, a stock issue for the 2 laptops moved to CMDB / Asset register is automatically created.

And the stock level has decreased by the items moved to CMDB / Asset register.

In the mobile app you can also move an item into the configuration database / asset register with a single tap. Tap the Stock levels icon, then select the item and Transfer to configuration database (Image No. 1). For easier navigation among items, you can choose a specific stock at the top or use the text search. As on the web interface, you can also check the related purchase order status in the mobile app — it shows the % fulfilment and the related stock documents (Image No. 2). The Items view shows the items transferred from the stock into the configuration database, with the status displayed in the lower right corner of each item (Image No. 3). A stock issue is also created in the background (Image No. 4).
