Manually creating users

In order for your colleagues, assignees or customers to work in the CDESK system, a user account has to be created for them. When first setting up the environment you usually add them manually – you enter the basic details and place the user in a group, which determines the default scope of their permissions in the system.

This section describes only the initial creation of a user. Detailed options for managing users, groups, roles and permissions can be found in the section devoted to the Users and groups module.

You manage users under Users and groups → Users. You create a new account by clicking the + Add user account button. A form opens which is divided into several tabs.

On the first tab, General settings, you enter the basic and login details. The mandatory fields are Username (login name), Full name, Abbreviation for listings, Contact e-mail and password (New password and its confirmation). You can also add the job position, phone, mobile, personal PIN or personnel number. The account status is set to active by default.

Once the basic details are filled in, continue to the User groups and licence tab, where you assign the user to at least one user group; the licence is allocated automatically according to the level. The system contains predefined main groups whose permissions correspond to the individual roles (administrator, operator, assignee, customer and so on); an overview of them can be found in the section default permissions of the main user groups. Besides these you can also create your own groups with permissions tailored to your needs – creating groups is described in the Groups section of the documentation.

On the Companies tab you set which companies the user can work with in the system. If you want to make all companies of a certain type available, tick the required type in the Visible companies by type section. In the Optional assignee for other assignees by company type section you similarly determine for which company types the user can act as an assignee even though they are not directly assigned to that type. In the Settings for selected companies section you assign the user to specific companies.

You create the account by clicking the button Create. Once the record has been created, further settings tabs become available for it – for example Permissions, Substitution, History. You can return to these settings at any time and adjust them to your needs – all the details can be found in the documentation for the module Users and groups.
