You can create a new billing fulfilment from the list of fulfilments by clicking the + Add fulfilment button, or directly in the request / task / deal / work deal / project deal on the Fulfilments tab, by clicking the + Add fulfilment button, or by clicking the quick selection button in the upper left corner and then selecting the Add fulfilment option. The button for adding entries is only displayed if you have permission to add records. You can set permissions in the section Users and Groups → Users → specific user → Permissions tab → Fulfilments → Records.
To create a new entry, click the Create button. If you want to move seamlessly to creating another fulfilment after creating one, hover your mouse over this button and the option Create + Add another will appear; clicking it opens a new form for creating fulfilments. Another option that appears when you hover over this button is Create and close, which is used to close the form after adding a fulfilment. If the option Create and add another is not displayed, check whether it is enabled via Global Settings → Fulfilments. After saving, additional fields and tabs become available. Their meaning is described in the section on tab descriptions.
Simplified fulfilment entry
If you need to reduce the number of fields when creating a fulfilment, you can use the Simplified entry feature. To enable it, you must turn it on in Global Settings → Fulfilments.
When active, only the following fields are displayed when creating a delivery: Link to, Default templates, Delivery text, Handler, Start time, or User-defined fields, depending on the settings. The following fields are hidden: Remaining time, Delivery location, Transportation (and related fields), Material Used, Warehouse Issue Slips, Warehouse Receipt Slips, Internal Description, Attachments, also not allowed Complaint Fulfilments. At the same time, Fulfilment Text is not a required field (as with standard fulfilment entry); only remain required fields. Link to, Assignee and Start Time. Simplified time entry is set by default; this option cannot be changed in the global settings, unlike with standard performance entry.
Entering fulfilments retroactively
Fulfilments can also be created retroactively. Via Global Settings → Fulfilments, you can configure a notification to appear when a fulfilment is created retroactively, or specify the time period for which fulfilments can be created retroactively. You can also restrict the creation of retroactive fulfilments.
Creating a copy of a fulfilment
If you need to create a fulfilment with most of the same parameters as an existing one, we recommend using the “Copy Fulfilment” feature.
In the lower-left corner of the existing fulfilment form, there is a Make a copy of fulfilment button. Clicking it opens the same form used for entering a new fulfilment, except that all fields are already pre-filled based on the original fulfilment. However, you can overwrite them as needed.
Introduction to creating billing fulfilments from internal ones
This feature is designed to simplify the processing of internal fulfilments by the responsible person, create billing fulfilments, and prepare for subsequent invoicing to the customer. An internally created fulfilment is added to the list of fulfilments in the same way as a billing fulfilment. It is color-coded in blue to distinguish it from the other fulfilments.
At the beginning of each line of an internal fulfilment not linked to an invoiced fulfilment, there is a checkbox labeled “” (Create Invoiced Fulfilment). This is used to select the internal fulfilments from which you want to create an invoiced fulfilment. After checking the selected internal fulfilments, the following buttons become available above the list of fulfilments: + Create billing fulfilment from internal and Cancel selected. Clicking the Cancel selected button will deselect the selected internal fulfilments.
Clicking the + Create billing fulfilment from internal button opens a form similar to the one used for entering an invoice fulfilment, with most fields already pre-filled based on the parameters of the selected internal fulfilments. The meaning of each field is described in this section. Selecting a customer and setting up the link works the same way as when entering an invoice fulfilment.
