List of requests

Requests are available in the main menu under Requests → Requests. If the Requests item is not in the menu, check whether the module is enabled (under Global Settings → Requests → Basic settings), or check the access permissions for this module in the user details (under Users and Groups → Users, on the Permissions tab → Requests item).

The header of the request list window shows the number of records displayed out of the total number; it also contains controls for creating a request or a request from the catalogue and for searching using the advanced filter, with the option to save it.

Figure: List of requests

This is followed by the list of requests based on the currently set filter or, where applicable, the search results. Using the icon in the last column of the list table, you can customise the column display by choosing which columns will appear in the list, and you can also set their order. You can also set the width of each displayed column in the list as you wish – by clicking the area between the columns and dragging it to the right or left to the required width.

Confirm your selection of columns (along with their order) by clicking the Save button in the corresponding table column selection window.

Below the list there are buttons for exporting the list of requests in XLSX and XLS format. Details of the options for exporting the list of requests are given in a separate section of the documentation, Exporting requests. In the bottom right-hand corner there is pagination to make the list easier to view and navigate.

Options for viewing the list of requests

The Priority view toggle provides a prioritised listing of requests that shows you what you need to handle urgently or what you are behind on. The toggle lets you display records in two ways:

  • Normal view – displays the list of requests of all assignees sorted by creation date, from newest to oldest
  • Priority view – displays the list of requests divided into these parts:
    • My drafts – drafts being created by the logged-in assignee
    • Waiting for assignment – requests assigned to one of the groups of the logged-in assignee
    • My waiting for response – requests assigned to the logged-in assignee and waiting for a response
    • My waiting for approval – requests assigned to the assignee group of the logged-in assignee. They can also be requests in which the logged-in assignee is listed and which are in the Waiting for approval status.
    • My overdue – requests assigned to the logged-in assignee that are not waiting for a response and whose completion deadline has been exceeded
    • My – requests assigned to the logged-in assignee that are neither waiting for a response nor past their completion deadline
    • My other – requests in which the logged-in person is not the assignee but appears, for example, as a co-assignee or responsible person, or requests assigned to an assignee from the assignee group of the logged-in user
    • Other – other requests that do not directly concern the logged-in assignee but to which they have access. This part also contains all completed requests and requests of other assignees from their own group.

Searching and filtering in the list of requests

CDESK offers several ways of searching that let you quickly find the records you need or narrow the view by precise criteria. These are:

  • central search
  • search in the list
  • simple filter
  • advanced filter
  • filtering by column names

Each search method serves a different purpose – from a quick full-text search to detailed filtering by specific columns and conditions.

Central search

Central search is the main search bar located at the top of the CDESK interface. It is available in all modules, except when the interface is covered by a modal window. Unlike the search and filters in individual lists, it lets you search across all record types, such as requests, work orders, tasks, deals/projects, …

Clicking in the field without entering any text displays a list of the last ten records the logged-in user edited. Pressing the Enter key opens the Centralised search of CDESK objects modal window, which offers a detailed view of the results by record type. In the modal window you can choose the number of results displayed and also include completed records in the search.

You can find more information on central search in a separate section of the documentation, Central search.

Searching the list of requests

For efficient searching by entering a specific term, you can use the Search field located above the list of requests. This ‘full-text search’ searches the following columns:

  • ID
  • Name
  • ….

When you enter a term and press the Enter key, or click the Search button, only the records matching the search condition are displayed.

Simple filter

The simple filter is used to quickly search for requests in the list by a single entered term. CDESK allows the simple filter to be displayed by default for the list of requests. This can be configured in Global Settings → Requests → Basic settings, in the Default request list settings section. The setting is applied separately to assignees and separately to other accounts, e.g. customer accounts. More information on this setting is available in the documentation section Basic request settings.

If the simple filter is not enabled, click the filter icon located above the list of requests. When the simple filter is active, the icon is displayed next to the search field, allowing you to add filtering conditions.

Clicking the icon displays the filtering conditions.

Clicking a condition displays a field for further configuration of that condition. For example, clicking the Status condition displays a list of all statuses. To apply the condition, click the Apply button located in the bottom right-hand corner.

When a condition is active, it is displayed above the list. You can add another condition by clicking the icon again. In the simple filter, a group of conditions is always joined by the AND operator, i.e. and at the same time.

Advanced filter

If you need to search for requests by several criteria, you can use the advanced search filter, which you apply by clicking the button next to the Search field. In this filter you can specify particular search conditions on various columns, such as:

  • Name
  • Service area
  • Note
  • Assignee
  • Assignee group
  • Request type
  • Source
  • Created by
  • Related requests
  • Attachment name
  • …
Figure: Filtering criteria in the list of requests

Depending on the column type, you can choose conditions such as “contains” or “does not contain” the search term or part of it; for code lists you select one of the offered values. Search conditions can be freely linked and extended using the logical operators AND (and at the same time) and OR (or). Frequently used or otherwise specific filtering conditions can be saved under a name of your choice and will be available with a single click above the list of request templates the next time you need them.

You can find more information on working effectively with filters in CDESK in the section Searching and advanced filters.

Filtering by column names in the list of requests

With the introduction of the simple filter, the option to filter the results in the list by column name was added. To use this feature, it is not necessary to enable either the simple or the advanced filter.

A small filter icon is displayed next to the column names. Clicking it opens a window for setting conditions, as in the simple filter. The condition is activated by clicking the Apply button located in the bottom right-hand corner of the window. This way of filtering is possible only for the columns that are included in the simple filter.

Restricting the search results in the main search field

At the end of the search field there is the icon, which lets you restrict the columns in which the entered term will be searched. Clicking the icon displays the available column names:

  • Request name
  • Request description
  • Request number
  • Company name
  • Request code
  • Company short name
  • Created by
  • Discussion posts
  • Ext-mails
  • Attachment
  • Branch
  • Place
  • Customer identifier in emails
  • Requested by

If the icon is displayed next to the condition name, the entered term will be searched in that column. Clicking the condition clears the mark, which means that the column will not be searched.
