- Project Order Name – a text field for entering the name of the project order.
- Company – if the Project field is active (set via Global Settings → Projects → Project Orders), this is filled in automatically upon selecting a project – the company linked to that project. If the Project field is not active, clicking on the Company field will open a new window for selecting a company. Clicking on the
icon will view the company details. - Project – a drop-down list for selecting a link to an existing project. Clicking on the
icon displays the project details. If the field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders. - Project owner – a drop-down list for selecting the project owner; the selection can be made from all operator accounts with visibility to the company to which the project order is assigned. This person will be granted access and editing rights to all tabs of the project order. If the field is not displayed, confirm whether it is enabled in Global Settings → Projects → Project Orders.
- Project manager – a drop-down list for selecting a project manager; you can choose from all operator accounts with a visible company to which the project order is assigned. The Project Manager, like the Project Owner, has access and editing rights for all tabs of the project order. If the field is not displayed, confirm whether it is enabled in Global Settings → Projects → Project Orders.
- Project team – clicking the + Select button opens a drop-down list for selecting project team members. The selected members are then viewed in this section of the form. To add each additional member, click the + Select button again and choose a user. You can select from all operator accounts with visibility to the company to which the project deal is assigned. Project team members have fewer permissions than the Project Manager; they can access the Basic Details, Fulfilments, Requests, Tasks, Project Documentation and History tabs, and can edit all of these tabs except Basic Details. If a field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders.
- Follower – clicking the + Select button opens a drop-down list for selecting followers. The selected followers are then viewed in this section of the form. To add each additional follower, click the + Select button again and choose a user. You can choose from all operator accounts with a visible company to which the project order is assigned, as well as from customer accounts assigned to that company which have access to the Project Orders module. Followers have access to all tabs, but cannot edit the project order or any tabs linked to it (read-only mode). If the field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders.
- Status – a drop-down list for selecting the status of the project deal. There are five options to choose from – open, in progress, suspended, cancelled, completed. If any of these options are not displayed but are required, or, conversely, if the selection needs to be narrowed down, this can be changed in Global Settings → Projects → Project Orders.
- Project Deal Type – a drop-down list for selecting the type of project deal. By default, there are three options to choose from – Exterior, Interior and Other. These types can be customised as required (or the fields can be enabled/disabled) via Global Settings → Projects → Project Orders.
- Relationship Stage – a drop-down list for selecting the relationship stage. There are four default options to choose from – Opportunity, Quotation, Contract/Ordered, Carried out, Invoiced. These types can be customised with your own values (or the field can be enabled/disabled) via Global Settings → Projects → Project Orders.
- Priority – the drop-down list is used to select the priority of a project deal. By default, there are six options to choose from (listed from most urgent to least urgent) – 1 – emergency, 2 – urgent, 3 – standard, 4 – service, 5 – next inspection, 6 – long-term. However, these values can be renamed as desired (the icons can also be changed), enabled or disabled, or further options added (or the checkbox ticked or unticked) via Global Settings → Projects → Project Orders.
- Planning mode – this drop-down list offers two options: automatic and manual. With the automatic setting, the Start Date and End Date are taken from tasks and requests, provided they are linked to the project order (the first and last dates). With the manual settings, the Start Date and End Date are entered manually into the fields below.
- Start Date – enter the date on which the project order begins in this field, or select a date from the calendar that appears when you click on this field. Enter the date in the format DD.MM.YYYY (DD.MM.YYYY). The current date is entered by default. If the field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders.
- End date – enter the end date of the project order in this field, or select a date from the calendar that appears when you click on this field. Enter in the format DD.MM.YYYY (DD.MM.YYYY). The current date is entered by default. If the field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders.
- Duration – the duration of the project order in days. This is filled in automatically once the start and end dates have been entered. If this value is entered manually, the end date will be adjusted. The default value is 1 day.
- GBA-BG – a parameter specific to the construction industry, gross floor area below ground in m²
- GBA-AG – a parameter specific to the construction industry, gross floor area above ground in m²
- GBA – a parameter specific to the construction industry, gross floor area at ground level in m². This is the sum of GBA-BG and GBA-AG.
- Percentage complete – the percentage of completion of the project contract. The value can be entered manually into the field. In addition, the value can be increased or decreased by 5 per cent using the controls. The maximum value is 100; it is rounded to whole numbers. If the field is not displayed, confirm that it is enabled in Global Settings → Projects → Project Orders. By clicking on the icon
, the value is recalculated according to the following formula (the condition for a correct calculation is the existence of a request or task under the project order):
- ∑d*p / ∑d, where ‘d’ is the duration of the task/request/project deal in dates, ‘p’ is the percentage complete set for the task/request/project order, and ‘∑’ represents the sum of the durations of all tasks, requests and project orders.
- Example: There is a project deal comprising one request with a duration of 12 days and 30 per cent done, a second request with a duration of 7 days and 70 per cent done, and a third request with a duration of 5 days and 0 per cent done. The percentage complete for the project deal is calculated as follows: ∑d*p / ∑d = ∑(12*30), (7*70), (5*0) / ∑(12, 7, 5) = 850 / 24 = 35%.
- Tags – enter tags in the field to make it easier to search for a project order, or select from the existing ones, which are displayed when you click on the field. Tags are managed via Global Settings → Tags, Categories, Units. If you want a tag to be viewed amongst the existing ones when creating or editing a project order, the Project Orders module must be enabled in the settings.
- Note – used to enter a comment, description or other information relating to the project deal.
- Attachments – the option to attach a file (e.g. a photograph, screenshot or document). You can add a file by dragging it onto this field (drag & drop), or by clicking on the field to browse for and select a file from your hard drive. It is possible to add multiple attachments; the list of attached files will then be viewed below this field. By clicking on the context menu icon next to individual files
, you can perform the following actions on them: Download, Edit, Lock, View versions, Upload a new version and Delete.
