The meaning of the fields in the project form

The project form can be found on the Basic Details tab. The presentation of certain fields depends on the general project settings and the user’s permissions.

  • Project name – the name under which the project is viewed in lists and selection menus. Mandatory field.
  • Project code – this is viewed for a saved project if custom codes are enabled and the user has the Custom project codes authorization. Clicking the cogwheel icon opens the Edit project code window.
  • Client – the company for which the project is being performed. Mandatory field. Clicking the magnifying glass icon opens the company tab, and clicking the + icon (Add client) allows you to create a new company. The icons are available depending on permissions in the Address book module. Any change to the client is carried over to all project deals for that project.
  • Contract name – the name of the project as stated in the contract, if different from the internal name.
  • Project owner – the person responsible for the project. This is viewed in the project details header.
  • Project manager – the assignee or group managing the project. When selected, they are automatically added to the project team if the Project Team field is enabled.
  • Project team – assignees or groups working on the project. A project team member can view and edit child records, such as project orders, requests and tasks. This field is displayed if the Project Team field is set to Optional or Mandatory in the project settings.
  • Followers – users who are following the project. Followers are automatically carried over to child records. In addition to assignees, client accounts from the client’s organisation that have access to project records are also displayed. The display and editing of this field depend on the Follower permission.
  • Status – the current state of the project (open, in progress, suspended, cancelled, completed). A new project has a default status pre-filled. Mandatory field.
  • Project type – the project type from the project selection list.
  • Quantity of units – a numerical value indicating the range of the project, for example, the number of devices or workstations.
  • Internal project – selects a project for the organisation’s internal purposes. Access to an internal project is restricted by the Access to internal projects authorization. This field is only viewed if the Internal project authorization is granted.
  • Planning mode – determines how project dates are counted. The options are Automatic and Manual. In Automatic mode, project dates are calculated based on its project orders – the start date is based on the earliest order and the end date on the latest order. If the project has project orders, the date fields cannot be edited. In Manual mode, dates are entered manually. If they do not match the dates of the project orders, the system will adjust them according to the orders upon saving and display an alert. A new project is set to Manual mode by default. The mode can only be changed with the Planning Mode authorization.
  • Start date – the scheduled start of the project. A new project is pre-filled with today’s date.
  • End date – the planned end of the project. This cannot be earlier than the start date.
  • Duration – the length of the project in dates or hours. The unit, operating hours and public holidays are set by clicking on the cogwheel icon (Duration Settings). By default, this is the quantity of calendar days, including the first and last days. Dates and duration are calculated in relation to one another: rescheduling a date recalculates the duration, and changing the duration recalculates the end date. The field is displayed if both dates are enabled in the settings.
  • Percentage Complete – the project completion rate (0 to 100 per cent). This is viewed if Percentage Complete is enabled in the project order settings. If no value is entered manually, it is calculated automatically as the weighted average of the percentages of project deals, where the weight is their duration. A manually entered value takes precedence. Clicking the refresh icon restores the automatic calculation. Selecting the Completed status sets the settings to 100%. The field is available with the Percentage Complete authorization, and the refresh icon is available with the Percentage Complete – Renew authorization. Entering the value 100 sets the status to Completed. When the status is Completed, the field cannot be edited, and a change of status from Completed to any other status sets the value to 0%.
  • Freely definable tags – tags for further sorting and filtering of projects. A new tag can only be created with the Create tags authorization.
  • Note – formatted text containing additional information about the project.
  • Attachments – files associated with the project, which are uploaded by clicking the Upload attachments button.
Notice

Any change to the customer on a project is carried over to all project orders once saved.

The form is saved by clicking the ‘Create’ button for a new project or the ‘Save’ button for an existing one. Clicking the ‘Back’ button views the list of projects without saving any changes. If a project is open in a window, it will close when you click the ‘Cancel’ button. You can delete a project by clicking the ‘Delete’ button and confirming the prompt ‘Are you sure you want to delete Project …?’. The conditions for deletion are described in the ‘Project List’ section.
