Project Deal Settings

The settings for the project deals feature are located under Global Settings → Projects → Project Deals. Within these settings, you can manage the fields of Project Deals. For clarity, these settings are divided into several sections:

  • General
  • Project Deal Code
  • Project Deal Statuses
  • Custom Statuses of Open Project Deals
  • Project Deal Types
  • Project Deal Priorities
  • Project Deal Relationship Stages
  • Probability

If the Projects module does not appear at all, you can enable it via Global Settings → Projects → Projects, Enable the Projects module. Enabling this module will give you access to project functionality and also make additional settings for Projects available. Disabling it will hide the Projects module, including its associated features. Data will not be deleted upon disabling; it will simply no longer be visible.

General

  • Project SelectionDisabled / Required – when selecting the option Required – when creating a project deal, a field will be enabled for selecting the project to which the project deal will be linked. At the same time, it will not be possible to save the project deal without selecting a project.
  • Start DateOff / Optional / Required – when selecting the options Optional / Required a field for entering the start date will become available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without entering a start date.
  • End dateOff / Optional / Mandatory – when selecting the options Optional / Mandatory the field for entering the end date will become available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without entering an end date.
  • Project Deal ManagerOff / Optional / Mandatory– when selecting the options Optional / Mandatory a field for selecting the project deal manager will be made available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without selecting the person responsible for the project deal.
  • Project ManagerDisabled / Optional / Mandatory – when selecting the options Optional / Mandatory a field for selecting the project manager will be made available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without selecting a project manager.
  • Project TeamOff / Optional / Mandatory – when selecting the options Optional / Mandatory the field for selecting the project team will become available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without selecting a project team.
  • Closing project requests by project team membersAllowed / Disabled – determines whether project team members can close a project deal. When selecting the options Disabled, only the Project Deal Owner and Project Manager have this permission.
  • FollowersOff / Optional / Required – when selecting the options Optional / Required, a field for selecting followers will be made available when creating a project deal. When selecting the option Mandatory it will not be possible to save the project deal without selecting followers.
  • GBAOff / Required - by switching the toggle to the on position   the fields GBA – BG (m²), GBA – AG (m²), and GBA (m²) become available, with the first two fields becoming required and the third automatically calculated as the sum of the first two.
  • Project Documentation – by switching the toggle to the on position the tab Project Documentation on the project deal becomes available. It is used to manage files uploaded to project deals and linked records.
  • Percent completeOff / Optional / Required – when selecting the options Optional / Required, a field for entering/calculating the extent to which the project deal is complete will be made available when creating the project deal. When selecting the option Mandatory, it will not be possible to save the project deal without entering/calculating a number.
  • Project Log – Toggling the switch to the “On” position will make the Project Documentation tab available in the project deal. It is used to record notes on the status of the project deal.
  • Enable linking from the project deal to the request even if it is disabled in the request template – Setting the switch to the “On” position enables the creation of a link from a project deal to a request even if the Project Deal field is disabled in the request template (from which the request was created).

Project Deal Code

  • Custom codes – Setting the toggle switch to the “On” position enables the generation of a custom project deal code format instead of the default one. This code is configured via Code scheme.
  • Code scheme – this option is displayed only if the Custom codes toggle switch is set to “On” . Allows you to set a custom project deal code using four variables:
    • number – project deal number starting from the first project deal
    • year – the year in which the project deal was created
    • project code – project code associated with the project deal
    • number by project – project deal number starting with the first project deal within the project
Another option is to enter a constant, which can be a number, a character, a word (such as a company name), or a combination of these.

These variables and constants can be freely combined and moved using drag-&-drop. A new variable or constant is added by clicking the “” icon, and an existing one is deleted by clicking ““. Clicking “” resets the code to its default state, which is also used when the “Custom Code” feature is disabled.

Project Deal Statuses

For the five project deal statuses (open, in progress, suspended, cancelled, completed), several settings can be configured:

  • Status – setting the toggle to the “On” position enables the use of this status type for project deals
  • Default – when creating a new project deal, this status will be filled in by default in the field Status
  • Color – clicking on the currently set color of the selected status opens a new modal window for selecting a color and an icon symbolizing the status. In addition to selecting from predefined colors (predefined option), you can also choose from a color mixer or enter a hexadecimal code representing the color (custom option).
  • Visualization – determines how the status of a project deal will be displayed; offers 5 options: disabled, icon color, font color, badge, label.

Custom statuses for open project deals

The five project deal statuses described above can be expanded to include additional custom project deal statuses that meet the organization’s needs. A new custom status can be added by clicking the icon + located next to the text Custom statuses of open project deals or by clicking the text + Add status. Custom statuses offer most of the same settings as existing statuses, but they cannot be set as default. In addition, they offer the following settings (which must also be filled in when creating a new status):

  • English – status name in English
  • Slovak – status name in Slovak
  • By dragging the icon , you can reorder the statuses using drag & drop
  • Clicking on discards the current custom status of the project deal

Project deal types

  • Selection of project deal typeDisabled / Optional / Required – when selecting options Optional / Required the field for selecting the project deal type will become available when creating a project deal

By default, there are no project deal types; you must create them, just as you would with custom statuses for project deals (this is done in exactly the same way as described above in the sections Custom statuses for open project deals, or Project deal statuses).

Project Deal Priorities

  • Project Deal Priority SelectionOff / Optional / Required – when selecting options Optional / Required the field for selecting the project deal priority will be enabled when creating a project deal

Project deals have 6 predefined priority levels:

  • 1 (max) – emergency,
  • 2 – urgent,
  • 3 – standard,
  • 4 – service,
  • 5 – follow-up inspection,
  • 6 (min) – long-term

Stages of a Project Deal

  • Selection of the phase of the project deal contractual relationshipDisabled / Optional / Required – when selecting the options Optional / Required the field for selecting the project deal relationship stage will become available when creating a project deal

Probability
