Creating a Request Template

You can create a new template via Request Templates. These are located in the main menu under Requests → Request Templates.

If you do not see the Templates for requests option in the main menu, check whether the “Enable Request Catalog” toggle is turned on in Global Settings → Requests → Request Catalog. If this switch is off, turn it on by clicking it, save the settings, and refresh the open browser window.

To create a new template, use the button + Add Record. A form for creating a new record will open. The meaning of each item is listed in a separate section Meaning of fields in the request template form.

After filling in the basic information, go to the “Tile Link” tab, where you can assign the template to a specific tile. On the “Assigned Companies” tab, specify which companies will have access to the template. Alternatively, you do not need to select a specific company; instead, you can assign the template to multiple companies of the same type or category at once. On the Visibility tab, you can restrict the template’s availability based on job positions or user groups. Details on creating templates are described in the following text.

Linking a template to a tile

You assign a template to a tile in the “Link to Tile” tab. This tab contains a list of tiles created in the requests catalog. Tiles are defined at Global Settings → Requests → Requests Catalog. Check the boxes to select the tiles for which the template will be available. You can also select multiple tiles at once.

If you need to edit the tiles, you can use the link Go to the catalog settings, which will redirect you directly to the requests catalog tree.

Assigning a template to a company

To save a template, you must first assign it to a company—either by selecting company types and categories, or individually by selecting specific companies from the list on the right side of the window. To narrow down the selection of companies or search for a specific company, use the search field above the list. The template will then be available in the service catalog only to the assigned companies.

By assigning a company on the request template in the Alternative companies for tile display section, you allow the user to submit a request from the catalog for a company other than their default company for the catalogue of requests in the user settings. The user will see the templates made available in this way without having to manually change the pre-filled company when creating a request from the catalog (however, this alternative company and its requests must be visible to the user). When the user clicks on a tile displayed based on the assignment of an alternative company, the name of the alternative company is automatically pre-filled in the Company field of the request form.

Visibility by job role and user group

The service catalogue can be customized using templates based on job positions, which can be defined at Global Settings → Job Positions → Define Job Positions. Visibility is adjusted by clicking on the icons in the column:

  • – users can see the template in the request catalog
  • – users cannot see the template in the request list.

Job roles are assigned to users in Permissions and Access → Users. The option to set the visibility of a request is useful, for example, when creating requests that should be accessible only to senior management. You can also set the visibility of a template for selected user groups by clicking the “” button + Select and choosing from existing groups. The selected groups are then displayed in a clear list within this section.

Finally, you need to save the template you are creating by clicking the Save button located at the bottom right below the form, or by using the floating buttons on the right edge of the screen.
